Board Meeting 

Minutes of the Clayton Public Library
November 19, 2024

The monthly meeting of the Clayton Public Library was called to order by President Janet Rigg on November 19, 2024, at 6 p.m.

Officers Present:
President Janet Rigg, Vice-President Vanessa Davis, Secretary Barbara Graff, Treasurer Brenda Graff.

Members Present:
Becky Barlow, Charlotte Krueger, Angie Edison, Suzanne Ryssman, Library Director Samantha Freed, and Assistant Marcie Staley.

Secretary’s Report

The Secretary’s Report was read. Becky Barlow made a motion, seconded by Suzanne Ryssman, to accept the report as read. Motion approved. Motion carried.

Treasurer’s Report

The Treasurer’s Report was presented, showing a monthly balance of $94,450. Charlotte Krueger made a motion, seconded by Suzanne Ryssman, to accept the report. Motion approved. Motion carried.

Director's Report

1. Discontinuation of Pest Control Service:
Library Director Samantha Freed proposed dropping Wiseman Pest Control. Barbara Graff motioned to approve the change, which Vanessa Davis seconded. The motion was approved, and it carried.

2. Beanstack Subscription:
Samantha Freed suggested waiting to subscribe to the Beanstack website. The board agreed to table this decision.

3. Community Granny Square Blanket:
The board discussed launching a new adult craft project, the Community Granny Square Blanket and Adult Craft Group. Further planning will take place at the next meeting.

4. Event Highlights:

  • The Pumpkin Painting event and the Elephant and Piggie program were successful.

5. History Room Painting:
The board approved hiring Lisa from “New Look by Lisa” to repair holes and repaint the history room in the same color as the Storytime Room.

6. Post Township Material Removal:

  • The board approved the removal of two double-sided wooden shelves currently used for book displays.
  • New books will be displayed on slat wall end caps of existing bookcases.
  • The removed shelves will be stored in the Storytime Room closet, which may be repurposed for Young Adult/Teen or Juvenile Fiction collections.

7. Hoopla Implementation:
The library plans to add Hoopla to its digital offerings, aiming for launch by the end of the month. The initial cost is $2,000, with monthly fees based on patron usage.

8. Snow Removal:
The board discussed hiring someone to clear the sidewalks during snow events. Samantha Freed will post an ad on the “Clayton Works” website, and Brenda Graff will contact a local candidate.

9. Teen Seating Proposal:
President Janet Rigg proposed placing chairs outside the library for teen use. 

Holiday Closures

  • Thanksgiving: Closed November 28–29, 2024.
  • Christmas: Closed December 24–26, 2024.

The next meeting will be a late Christmas party held at Becky Barlow’s house.
